Salary: £27,300 - £32,175  (based on experience)

Footprints Education Limited (FEL) provides back-office administration & finance support services to several businesses, with one of them being Rose Castle Company, which owns and operates Rose Castle.

FEL is seeking a reliable and detail-oriented Administration & Property Assistant to join our dedicated support team.

This role is key in ensuring the smooth day-to-day operation of the businesses (including Rose Castle) and providing vital assistance to a diverse portfolio of six dynamic enterprises and several private properties.

  • A remote wilderness lodge in the Northwest Highlands of Scotland: Inchnadamph Explorers Lodge

  • An award-winning pie shop in Scotland: Lochinver Larder

  • A restored medieval castle near the Lake District: Rose Castle

  • A Georgian lakeside mansion in Cumbria.

  • A trio of coastal flats in Kent.

  • A food production facility in Speyside.

Additionally, we manage a selection of private and rental properties throughout the UK, from Hythe to Inverness. You’ll play a central role in ensuring these enterprises are well-coordinated and operating efficiently.

The Role: Administration & Property Assistant

Based full-time at our Cumbria office (Mon–Fri, 9am–5pm), this is an ideal role for someone organised, tech-savvy and eager to contribute across a wide range of administrative and property management tasks. You will work closely with the Directors, their PA/Admin Manager and Finance Manager. This role requires someone who can multi-task, who is able to prioritise and use their own initiative.

You will be the heartbeat at the centre of each of the businesses, providing central support, using tools and processes which run at and for Rose Castle, alongside the other interesting businesses and their own operational teams.

Key Responsibilities:

Property Management

  • Coordinating utilities including water, electricity, gas, oil, council tax, telephony, and internet.

  • Managing insurance documentation across business and residential properties.

  • Overseeing scheduled, preventative and emergency maintenance tasks.

  • Liaising with letting agents, AirBnB guests, and tenants to maintain smooth operations.

Administrative Support

  • Providing general admin support to the Directors and senior staff.

  • Managing incoming and outgoing post, including scanning and distribution.

  • Logging business card contacts into CRM (HubSpot).

  • Managing stationery and staff kitchen supplies procurement.

  • Offer backup support for customer care by assisting with telephone enquiries as needed, maintaining professional telephone etiquette and communicating relevant information and actions.

  • Support supply chain operations by coordinating and liaising with suppliers, contractors and relevant managers.

Vehicle Administration

  • Scheduling MOTs and services across a fleet of vehicles.

  • Ensuring all vehicles are taxed and insured.

Financial Administration

  • Support when required with general day to day finance admin, assisting the FOH (Front of House) and Operations teams and carrying out financial analysis tasks. 

  • Other finance tasks as instructed by the Director/Finance Manager.

  • Handling confidential information with discretion and integrity.

Required Personal Attributes:

  • A can-do attitude with a high degree of initiative.

  • Excellent organisational skills with the ability to multitask across different businesses.

  • A strong attention to detail and commitment to quality.

  • Ability to prioritise tasks ensuring urgent tasks take presidency.

  • Strong interpersonal skills with capability to build strong working relationships across the six businesses.

  • Able to work independently and collaboratively within a small team ensuring excellent communication.

Required Skills:

  • Proven experience in office administration or similar.

  • Proficiency in Microsoft Word, Excel and Google Workspace.

  • Confident in navigating and learning administrative and finance software.

Desirable Skills:

  • Experience using Xero, HubSpot, Lightspeed (POS), or Mews (PMS) is an advantage.
